June 2023 Release Notes
June 23 - Web
Processes - Expand and collapse sections {available from 30th June}
Users will now be able to expand and collapse individual sections inside a process form. The new Expand All and Collapse All links will be available at the top of the form and can be used to expand or collapse all process sections at the same time.
Individual sections can also be expanded or collapsed using the caret button beside each section.
Administrators must provide section titles in the Process Setup > Layout for the sections to be collapsible.
Expand and collapse Process sections
Every time an instance is opened or a new process is started, all process sections will be expanded by default.
Ensure that you complete all the required fields in collapsed sections as well. If a collapsed process section has a blank required field, the record will not be saved or advanced.
Bidding - Prevent Bidders from Submitting Unrequested Qualifications (e-Builder Admin only){available from 23rd June}
Administrators will be able to select the Suppress Qualifications text field check box on the Bid Options page to prevent bidders from submitting unrequested qualification information. (Setup> Administration Tools> Bidding> Options)
New "Suppress Qualifications text field" check box on the Bid Options page
Bid responses submitted before 23 June 2023 will continue to display the text field on the Bidder's Portal, Bid tab. In-progress responses and new bid packages will follow the setting.
Mail Merge - Added "Run as User" option (e-Builder Admin only) {available from 23rd June}
Previously, when a Mail Merge code step was configured to send the output file to different roles and/ or users, the mail merge service would run separately for each recipient, extending the processing times. This was due to process data field permissions where different users with different permissions received a different output file
When the mail merge output file is expected to be identical for every recipient, Administrators should configure a “Run as user” on the Mail Merge code step. This will require the mail merge service to run only once significantly reducing processing times and increasing the efficiency.
The new Run as User option will be available when the Automation Step Type field is set to Mail Merge in the Automation Step Properties page. When enabled, the content of the mail merge document will be based on the field permissions of the "Run as User".
New "Run As User" field on the Edit Automation Step page
Forms - Disable External Comments (e-Builder Admin only) {available from 23rd June}
Previously, a non e-Builder user could participate and view a Form instance if an e-Builder user had requested a comment from that individual.
With this release, e-Builder Admins may now disable the ability for non e-Builder users to participate and view Form instances. If the Forms - Allow users to request external comments check box is disabled on the Security settings page, solely e-Builder users will be able to view and interact with Form instances.
(Setup> Administration Tools> Settings> Security)
New "Forms - Allow users to request external comments" check box on the Security settings page
The following issues have been resolved:
Bidding
- Some notifications for bidders questions were missing from the Summary notification emails list. (Case# 513513)
Business Intelligence
- The BI Reports module was not converting the Upload Date for files to the user's local time zone. (Case# 512990)
- Corrected the time zone conversion for Project Details so that it correctly matches reports. (Case# 513231)
Cost
- Resolved an issue when importing master commitment changes on unit cost commitments, to show the existing Unit Cost for existing items, and the Item Amount when there is a Unit Cost and Qty. Also, added validation warnings when Item Amount does not equal Unit Cost X Qty. (Case# 507617)
Home
- The project drop-down list was using a custom field as one of the 3 displayed fields. When the custom field was deleted, the project drop-down was not operating correctly. Safety checks were added to prevent the deletion of custom fields being used in this area in the future. (Case# 513582)
Processes/ Workflow
- On commitment creation process types, restored Cost Control validations from the Start step. (Case# 511725)
- For Admins, when deleting a process, if there were old process instances on projects that have been soft-deleted, those instances will be deleted as well. (Case# 510655)
- Resolved an issue with Process View exports to ensure that Process Age and Step Age are exported as integers. (Case# 513461)
Projects
- When applying a project template to an existing project, the updated permissions for files were not consistently applied. (Case# 512048)
Reports
- A missing data validation was causing values from other customer accounts to show up in this report if the user was added to several accounts. This is now fixed and all the results will be only from the account the report is being executed. (Case# 486740)
- Fixed a permissions issue on reports where the user was able to see/ edit the report that is set for a specific role(s) that user previously held on the deleted project(s). (Case# 497060)
- The filter for the cost reports query was fixed to correctly include the missing field. (Case# 507272)
- Added project-level cost item permissions to a Process Line Item report that was incorrectly blocking users. (Case# 507496)
- The audit log report was missing safety checks on the project hyperlink generation, which was causing errors on report execution. (Case# 513949)
Schedules
- When a user saved project details, the "last modified" field for the Schedule module history was updated incorrectly. This has been fixed. (Case# 504000)
- Adjusted the requirements for saving schedule templates to incorporate non-admin users with "manage template" permissions. (Case# 511351)
Settings
- In the custom color scheme settings, the Tab Background color was not being saved. This is now fixed. (Case# 515124)
